Sales Pipeline CRM — Drag-Drop Kanban Stages, Weighted Forecasting, and Rep Quota Tracking Built for Your Sales Team

A sales pipeline CRM is where your sales team lives Monday to Saturday. It has to show every open deal on one drag-drop Kanban board, forecast this quarter using stage-weighted probabilities, and track each rep against their monthly quota — without slowing anyone down. We build that CRM in 8 to 14 weeks on a fixed-price contract.

  • Drag-drop Kanban board with custom stages and stage-entry rules
  • Weighted forecast dashboard by rep, product, region, and close date
  • Monthly and quarterly quota tracking with attainment percentages
  • Activity capture on calls, WhatsApp, email, and site visits
  • Two-way sync with Tally, Google Workspace, Razorpay, and Zoho Books

What a Sales Pipeline CRM actually is — and why generic CRMs fail at it

A sales pipeline CRM is the workspace where every open opportunity in your business lives on one screen. It is not a database of contacts. It is not an email tool. It is the daily operating system for a sales team — the place a rep opens at 9:30 am, looks at the Kanban board, sees which deals moved overnight, which are stuck, which need a call today, and which are about to slip past their forecast date.

Most companies start with a spreadsheet, then a free tier of Zoho or HubSpot, and around year two they hit the wall. The pipeline stages the tool ships with do not match how their team actually sells. The "probability" field is either ignored or gamed by reps who want a better dashboard. The forecast Excel that finance builds on top of the CRM export is out-of-date by the time it lands in the CEO's inbox. A custom Sales Pipeline CRM fixes this by starting the other way around — the stages you actually use, the probability weights your sales head trusts, and the forecast view your CFO wants, wired directly to the same database your reps update every morning.

Who this Sales Pipeline CRM is built for

We build for B2B sales teams in the 5 to 60 rep range where a spreadsheet or a subscription CRM has stopped scaling. Typical fit: manufacturers with a field sales team quoting distributors and OEMs, SaaS and IT-services firms running multi-month enterprise deals, real-estate developers and channel-partner networks tracking site visits and bookings, financial-services and insurance-broker teams with regulated quote-to-issuance cycles, and D2C or B2B trading businesses with reps split across states.

If your sales head cannot answer "what is our weighted forecast for this month" in under 30 seconds, or your reps keep a private Excel because the CRM will not hold the one custom field that matters, this page is for you.

Modules we build into a Sales Pipeline CRM

Every Sales Pipeline CRM starts with three foundations: an account and contact master, a deal object with a configurable stage set, and an activity timeline. On top of that we layer the modules a real sales team runs on. Kanban board with drag-drop between stages, per-stage entry criteria (required fields, mandatory activities), stage-age flags (deal has been in "Proposal Sent" for 21 days — escalate), and colour-coded deal size. Weighted forecast dashboard with per-stage probability, per-rep target vs actual, region and product filters, and month-to-date, quarter-to-date, and year-to-date views. Quota configuration by rep, by team, by product line, with per-month or per-quarter targets and rollover rules. Activity capture from calls (mobile SDK), WhatsApp Business API, email (Gmail or Outlook), site visits (mobile app with GPS), and inbound web forms.

Beyond the pipeline itself: quotation and proposal builder with revision history and buyer-side approval status, product and price-book master with region and volume tiers, discount approval workflow with defined sign-off thresholds, lost-reason capture with categorised reasons for pipeline post-mortems, and a manager review screen that surfaces deals overdue their next activity. Everything lives in one CRM database with role-based access — a rep sees their pipeline, a regional sales manager sees their team, the sales head sees the entire funnel, and the CEO sees the forecast rollup. No CSV exports, no parallel Excel, no morning stand-up spent asking "what is the latest number".

  • Drag-drop Kanban board with stage-entry rules and stage-age flags
  • Weighted forecast dashboard by rep, product, region, and month
  • Quota configuration by rep, team, and product line with rollover rules
  • Activity capture from calls, WhatsApp, email, and site visits
  • Quotation and proposal builder with revision history
  • Discount approval workflow with defined sign-off thresholds
  • Lost-reason capture with categorised reasons for post-mortems
  • Role-based rep, manager, sales-head, and CEO dashboards

How the Kanban, forecast, and quota modules are actually built

The Kanban board is a Next.js React front-end with a react-beautiful-dnd or dnd-kit drag layer, wired to a PostgreSQL or MySQL deals table via a REST or GraphQL API. Every drag between stages fires a stage-change event that writes a row into a deals_stage_history table — this is the audit trail the forecast engine reads later. Stage-entry rules run server-side: if a rep drops a deal into "Proposal Sent" without a linked quotation, the API returns a 422 and the card snaps back with an inline reason. Stage-age flags are computed on read from the last stage-change timestamp, not stored — no cron job to drift out of sync.

The forecast dashboard is a materialised view refreshed every 5 minutes (or on demand from the sales head's screen). Each open deal contributes its amount multiplied by the stage probability into a weighted forecast bucket keyed by expected close month. Probabilities are configurable per stage, per product line, and per pipeline — a Salesforce-style single number does not survive contact with a real B2B business. Quota tracking joins the same deals table against a quotas table keyed by rep and month. Attainment is computed as won amount divided by quota amount, with pace indicators (on track, behind, ahead). Everything is server-rendered where possible for speed on 3G, and the mobile app hits the same REST API for offline-capable field use.

How we deliver a Sales Pipeline CRM project

Every Sales Pipeline CRM engagement starts with a scoping call and, for teams above 20 reps, an on-site visit. The delivery lead spends a day with your sales head, two or three reps, and finance. You leave with a documented pipeline blueprint — stage set, stage-entry rules, probability weights, quota structure, activity types, and integration surface. Within a week you receive a written scope document with wireframes and a fixed-price, fixed-timeline quotation. No T&M, no per-user pricing, no surprise change requests.

Build runs from our Ahmedabad office over 8 to 14 weeks depending on integration surface. Every fortnight there is a Zoom demo of what shipped that sprint — real screens on your data, not slideware. On week six we ship a working Kanban board with your first pipeline configured, so reps start entering deals into the new CRM while the forecast and quota modules are still under construction. Go-live is staged: pipeline first, forecast dashboard next, quota tracking last. Historical data migrates from your existing Zoho, HubSpot, Pipedrive, Salesforce, or Excel. After go-live you own the source code, database, and deployment accounts from day one, and we stay on an optional fixed-fee monthly retainer for enhancements.

What a typical Sales Pipeline CRM engagement looks like end-to-end

A recent representative Sales Pipeline CRM engagement: a machinery exporter based in Ahmedabad, 22 reps split across Gujarat, Maharashtra, and Tamil Nadu, previously on Zoho CRM Plus. The pain point was not the tool — Zoho worked fine for lead capture — it was that the sales head could not trust the forecast. Reps updated deal close dates only when their manager asked, probability weights were the Zoho defaults nobody had ever calibrated, and the CFO built a monthly forecast Excel from a CSV export that was already two weeks stale by month-close.

We scoped a Next.js plus Laravel plus MySQL Sales Pipeline CRM with a drag-drop Kanban, stage-entry rules (a deal cannot enter "Proposal Sent" without a linked quotation), a weighted forecast rebuilt on the sales head's calibrated probabilities, and a rep-level quota dashboard. Timeline: 12 weeks, fixed price ₹7.8 lakh. Data migration: 18 months of open and closed deals pulled from the Zoho API, remapped to the new stage set. Training: one on-site session for reps in Ahmedabad, two Zoom sessions for Mumbai and Chennai teams.

Four months post go-live, the sales head reports forecast accuracy inside 8 per cent (was ±25 per cent on the old spreadsheet), stage-entry rule enforcement pushed deals through the pipeline 22 per cent faster, and the CFO stopped building the parallel Excel because the CRM dashboard is refreshed on demand. Similar shape ships for SaaS teams (₹5-10 lakh), real-estate developers with a site-visit pipeline (₹6-12 lakh), and insurance-broker teams (₹4-8 lakh).

Tech stack the Sales Pipeline CRM ships with

Backend: Laravel (PHP 8.2) or Node.js with Express or NestJS, chosen on integration surface. Database: MySQL or PostgreSQL, with materialised views for the forecast dashboard. Frontend: Next.js with React 18, Tailwind, and dnd-kit or react-beautiful-dnd for the Kanban drag layer. Mobile app for field reps: React Native or Flutter — one codebase, iOS and Android, with offline-capable activity capture. Hosting: AWS Mumbai region by default, or your existing DigitalOcean, Hetzner, or on-prem server. Every deployment is containerised, backed up nightly, and monitored 24x7 as part of the retainer.

What a Sales Pipeline CRM build costs and how long it takes

Fixed-scope, fixed-price. Compact pipeline CRMs for a 5 to 10 rep team with Kanban plus basic forecast start at ₹2.5 lakh to ₹4.5 lakh and ship in 8 to 10 weeks. Mid-size builds with weighted forecasting, quota tracking, activity capture, and one mobile app typically fall in the ₹5 lakh to ₹9 lakh range and ship in 10 to 14 weeks. Larger multi-team builds with regional rollups, discount approval workflows, WhatsApp Business API, Tally sync, and full mobile field app run ₹9 lakh to ₹18 lakh over 14 to 20 weeks. Support retainers post go-live start at ₹15,000 per month. Every quote is written after the scoping call — no per-user-per-month subscription trap, no surprise upsells.
