Why bolted-on invoicing breaks a CRM (and how a native build fixes it)

Most CRMs stop at the quotation. The moment the deal is won, the sales team switches to Tally to raise the tax invoice, opens the NIC portal for the e-way bill, logs into a Razorpay dashboard to send the payment link, and then updates the CRM again — sometimes. Three days later nobody knows which invoices are paid, which are overdue, and which are stuck in dispute. Accounts and sales run parallel spreadsheets. How the quote-to-cash workflow actually runs in the CRM

A won deal in the CRM becomes a proforma invoice with one click — party details, line items, GST, and delivery terms carry across without re-entry. On buyer approval the proforma converts to a tax invoice. The moment the invoice is saved, the CRM fires three parallel API calls — IRN and QR-code request to the IRP, e-way bill request to the NIC portal, and a payment-link request to Razorpay or your chosen gateway. Within seconds the printed invoice carries the IRN, the QR code, and the e-way bill number, and the WhatsApp message carrying the invoice PDF and the payment link has already left for the buyer.

If the IRP is down or the buyer GSTIN is invalid, the CRM parks the invoice in an exceptions queue with the exact error code and retries automatically. Nothing is lost, nothing is forgotten. When the buyer pays, the gateway webhook fires, the CRM tags the invoice "Paid", the party ledger updates, the sales owner gets a WhatsApp notification, and a "Payment received" thank-you goes out to the buyer. For bank transfer payments, the accounts team uploads the statement and the CRM matches UTR against invoice number to clear the entries. Nothing is manually reconciled. Nothing sits in a spreadsheet.
