CRM for Pharma Companies — MR Apps, Doctor Visit Logs, and Audit-Ready Compliance Trails

Fruxinfo builds custom CRM software for Indian pharma companies — formulation manufacturers, distributors, and export units. MR field-force apps, doctor and chemist visit logs, batch and expiry tracking, MSDS attachments, and audit trails aligned with WHO-GMP, Schedule M, and USFDA inspection expectations.

  • MR mobile app — doctor, chemist, and stockist visit logs with GPS stamp
  • Doctor master with speciality, RCPA, and prescription share tracking
  • Batch, expiry, and MSDS auto-attached on every quote and dispatch
  • Audit-ready trails for WHO-GMP, Schedule M, and USFDA inspection cycles
  • Fixed-scope INR pricing, code in your GitHub from day one

Why pharma CRM has to think differently from every other sales CRM

Pharma is not a normal B2B sales business. There is no clean lead-to-deal funnel. The doctor who signs the prescription is not the party who pays the bill. The chemist who stocks the product does not decide what to stock — the prescription pattern of nearby doctors does. The stockist who invoices the chemist is running a razor-thin margin business where secondary sales matter more than primary. And behind all of that sits a regulator — CDSCO, FSSAI, USFDA, WHO-GMP inspection cycles — that expects every batch, every expiry, every MSDS, and every temperature-sensitive dispatch to be traceable years after the fact.

A generic sales CRM like HubSpot or a stock Zoho template ignores every one of these realities. The pipeline stages don't fit. The audit trail is not tamper-evident. The MR app doesn't do RCPA. The dispatch module cannot attach the batch and expiry the way an invoice needs it. Founders end up running the CRM for the front-office slice and Excel for everything the CRM couldn't handle — which is where errors, missed follow-ups, and audit misses creep in.

Fruxinfo builds pharma CRM software from the shop-floor and MR-van reality up, not from a generic sales-CRM template down.

Who this pharma CRM page is for

This page is written for four pharma audience slices. First, formulation manufacturers running an MR field-force selling to doctors, chemists, and stockists across a state or a region. Second, pharma distributors and CFAs managing secondary sales, expiry returns, and stockist reconciliation. Third, export-oriented pharma units shipping to Africa, Southeast Asia, LATAM, or regulated markets who need shipping-bill, COA, and stability data attached to every consignment. Fourth, API and intermediate manufacturers whose sales cycle is longer, technical, and RFQ-driven rather than prescription-led.

If you are a founder, VP Sales, National Sales Manager, or IT head at any of the above and your current mix of Excel, a free CRM, or a stock Zoho / Salesforce subscription is bleeding data at the edges, this page is for you.

Modules a real pharma CRM ships with

Every pharma CRM we build starts from a shared core — accounts, contacts, pipeline, quotation, invoice, dashboard, role-based access, and audit log — and then layers the pharma-specific modules that make the difference between a CRM that gets used and one that goes back into a drawer after three months.

MR field-force is the biggest block. The MR mobile app runs on iOS and Android, works offline in low-signal areas, and captures doctor visits with GPS stamp, sample distribution, RCPA (Retail Chemist Prescription Audit), prescription share, and the next call objective. Doctor and chemist masters carry speciality, patient load, prescription pattern, and preferred sample list. Tour plans and daily call reports flow up to the reporting manager without a single Excel attachment. Expense claims travel through the same app with photo receipts. On the back-office side, primary and secondary sales dashboards, stockist reconciliation, expiry return handling, and product-wise trend charts sit in one place. For every dispatch, the CRM auto-attaches the batch, expiry, and MSDS to the invoice. For every quote, the correct MSDS revision is pulled from the product master. For every export, shipping bill data, COA, and stability data ride along with the consignment. Underneath all of it sits an immutable, timestamped audit trail on every state change — which is what a WHO-GMP or Schedule M inspector actually asks to see.

  • MR mobile app — offline visits, RCPA, sample tracking, GPS, expense claims
  • Doctor / chemist master — speciality, prescription share, sample preferences
  • Tour plan and DCR flow to reporting manager without Excel handoffs
  • Batch and expiry auto-attached on quote, invoice, and dispatch challan
  • MSDS revision control and auto-attach on hazard-category products
  • Immutable audit trail on every state change — WHO-GMP / Schedule M ready

How Fruxinfo delivers a pharma CRM project

The delivery model is designed around one honest constraint — pharma builds carry regulatory weight, and no reasonable QA head signs off on a CRM that was scoped in a 30-minute call. So we structure the engagement so that the compliance shape of the CRM is agreed before a single line of code is written.

The first step is a 45-minute discovery call over Zoom. If it clears, we schedule an on-site scoping visit at your plant or head office — half a day to a full day, covering sales, MR reporting, dispatch, QA, and finance. Within one working week we come back with a written blueprint document — a screen-by-screen module list, the audit-trail architecture, the master-data plan, the integration map (Tally / SAP / accounting), and a fixed-price INR quotation. Once signed, build runs in two-week sprints with a weekly Zoom demo and a monthly on-site review. QA sign-off happens on a mirror environment before a single MR is trained on production. Training is delivered on-site over one to three days depending on team size, in the language mix the field-force is most comfortable with. Post-launch support runs on a written retainer with a 24-hour SLA on standard tickets and same-day response for production incidents affecting dispatch.

What a typical pharma CRM build looks like — and the ROI numbers

A useful way to picture a pharma engagement is to walk through an anonymised representative build. A Ahmedabad-headquartered formulation manufacturer with 85 MRs across Gujarat, Maharashtra, and Rajasthan came to us with three problems. First, their MRs were filing DCRs in an Excel that reached the reporting manager three days late, if at all. Second, their stockist reconciliation was manual, taking two accountants a full week every month and still missing 3-5 percent of secondary sales. Third, an upcoming USFDA inspection meant they had to produce a tamper-evident audit trail on every batch movement — and their existing ERP could not.

The scope we shipped covered a Flutter MR app (offline visits, RCPA, sample tracking, expense claims), a doctor and chemist master seeded from their legacy Excel, a tour-plan and DCR flow with manager approval, batch-and-expiry tracking wired into their Tally instance, a secondary sales dashboard with stockist reconciliation, an MSDS module for the API side, and an immutable audit trail on every state change. Total build was sixteen weeks, fixed price at ₹9.4 lakh, and two Fruxinfo engineers stayed on retainer at ₹65,000 a month for the first six months. Measured 90 days after go-live: DCR filing rate went from 62 percent to 96 percent, month-end stockist reconciliation dropped from five working days to one, and the USFDA inspection produced zero data-integrity observations. Comparable scope quoted by a Mumbai enterprise-CRM vendor was ₹42 lakh with a per-user annual licence on top.

Compliance notes — WHO-GMP, Schedule M, USFDA, and 21 CFR Part 11

Every pharma CRM we ship is built with regulatory review in mind, even if the client isn't planning an inspection this quarter. The architecture patterns we default to align with WHO-GMP data-integrity principles (ALCOA+), Schedule M revised guidelines around traceability, USFDA 21 CFR Part 11 electronic records expectations, and the general MHRA / EMA emphasis on audit-trail immutability.

In practice this means the CRM never allows a hard delete on any transactional record — cancellations are state changes with a reason code, a timestamp, and a user stamp. Every field edit on a critical master (product, batch, doctor, stockist, MSDS) is versioned. Login attempts, permission changes, and password resets are logged separately. Batch numbers, expiry dates, and MSDS revisions on a dispatch are frozen at the moment of dispatch — a later edit to the product master does not retroactively change what shipped. Role-based access is enforced at the API layer, not just the UI. For clients on the export side we add electronic signature workflows on release documents, per 21 CFR Part 11. None of these are premium add-ons — they are the default the CRM ships with. It is cheaper to build compliance in at architecture time than to bolt it on before an audit.

Tech stack we ship pharma CRM on

Backend is Laravel or Node.js, front-end is Next.js with Tailwind CSS, database is MySQL or PostgreSQL, and the MR mobile app ships in Flutter — one codebase for iOS and Android with offline-first local storage. Hosting runs on AWS Mumbai region or on any private cloud you already own, so patient-adjacent data stays in-country by default. Integrations with Tally, SAP Business One, WhatsApp Business API, and IndiaMART are standard. All source code is yours from day one, pushed to your GitHub or Bitbucket — not ours.

What a pharma CRM build actually costs

Pharma CRM builds sit a step above generic sales-CRM builds because MR field-force, batch tracking, MSDS, and audit-trail modules add real scope. A compact pharma CRM with core sales pipeline, MR app for a small field-force, Tally sync, and basic audit logging typically starts at around ₹2.5 lakh. Mid-sized builds with a 50-150 MR field-force, doctor and chemist masters, secondary sales dashboards, MSDS management, and USFDA-aligned audit trails usually land in the ₹6-15 lakh range. Multi-plant, multi-country, export-heavy builds with 21 CFR Part 11 electronic signatures sit above that — always against a written fixed-price scope, never T&M.

Pharma CRM questions we hear from founders and IT heads

Everything a pharma founder, National Sales Manager, or IT head asks before signing a scope document. If yours isn’t here, we will answer it on the discovery call.

A pharma CRM has to model a value chain where the person who prescribes is not the person who pays. That means doctor and chemist masters with speciality, RCPA, and prescription share; an MR mobile app that captures visit logs, samples, and expenses offline; a batch-and-expiry-aware dispatch flow; MSDS attachment on hazard-category products; and an immutable audit trail on every state change. Generic sales CRMs ignore all of that and hand the paperwork burden back to the ops team. Forcing a pharma workflow into HubSpot or a stock Zoho template usually breaks the process rather than fixing it.
